How JD Refrigerated Transport Keeps Its Drivers Trained, Compliant, and Audit-Ready

Katrina Taylor, People & Culture/Compliance Support, had been managing driver training at JDRT through paper induction packs, and spreadsheets. It was working, but it was becoming harder to keep on top of. Chanel Gabb, Business Improvement Projects Manager, and Katrina, agreed it was time to explore a more efficient process utilising an LMS.

About the company

JD Refrigerated Transport (JDRT) is a Brisbane-based refrigerated transport company with more than 15 years in the industry, operating across Southeast Queensland with some runs into Northern New South Wales. With a workforce of approximately 100 people, most of them truck drivers across HR, HC, and MC licence classes; compliance is central to how the business operates.

JDRT holds Safe Food QLD certification, maintained through an annual audit based on HACCP principles, and is NHVR accredited for fatigue, mass and maintenance management. Chain of Responsibility legislation means that everyone in the chain, not just the driver, carries a duty of care for on-road safety. Training is not a nice-to-have at JDRT. It is part of how the business stays accredited, protects its people, and demonstrates due diligence to auditors

Before Tribal Habits

Before Tribal Habits, all training at JDRT was paper based. New drivers received a printed induction pack, completed it, and handed it back. Toolbox sessions and safety alerts were printed and distributed. Completed forms were entered into a spreadsheet, with renewals managed manually.

Getting drivers to complete paperwork and return it was a constant effort. Tracking who had and had not done what was difficult. And when auditors asked for training records, finding them meant going back through files.

The executive team also wanted more visibility and confidence that training was being managed properly.

Knowing who’s done what training, when. It was quite a manual process.  It’s a risk to the business if we haven’t got drivers that are properly trained and can’t prove their training history.– Chanel

Why Tribal Habits

They ran a structured selection process, shortlisting three vendors and evaluating each one formally. On core functionality, all three addressed what JDRT needed. What set Tribal Habits apart was usability. The interface stood out across all the demonstrations as the most accessible and the easiest to confidently use.

“We had some confidence that we were going to be able to use it well. The interface stood out as the best of the three.” – Chanel

The Tribal Habits team also made an impression during the process, giving them confidence in what the working relationship would look like beyond the sale.

There was one concern going in. Without a native mobile app, the team was not sure how a browser-based platform would land with their workforce. In practice, it turned out not to be an issue. Drivers simply opened a link and completed the training. No app to install, no version updates to manage, and no issues with whether drivers are on iPhone or Android.

What Changed

For a team with no prior LMS experience, moving from paper and spreadsheets to a fully operational platform could have been daunting, but the Tribal Habits team supported them through every aspect of the implementation, answered questions as they came up, and gave constructive feedback on early content, helping them build training that looked and felt professional from the start.

“It was probably one of the best implementations we have gone through.”  Chanel

They had an internal deadline to get the new training set up and report completions to the executive team, so they moved quickly from implementation to enrolling learners. The integration with their HR system was set up as part of the process, so new employee records now flow through automatically rather than requiring manual entry.

Today, JDRT has built a library of 75+ modules covering compliance and internal training, all in one place. Compliance modules covering fatigue management, mass management, load restraint, manual handling, and speed compliance sit alongside toolboxes and safety alerts. Drivers receive a notification when training is assigned, complete it within a set timeframe, and can go back and revisit content whenever they need to.

JDRT’s training program runs on two layers. The formal layer covers the structured compliance modules every driver needs. The second layer is built directly from operational reality: toolbox updates written from real incidents on their own roads and docks, distributed to drivers as situations arise.

The platform also serves as a communication record. If a driver says they did not receive an update, the system shows exactly when they opened it.

The Shift That Mattered Most

JDRT’s compliance obligations mean training records need to be retrievable quickly and accurately. Audits are mostly pre-planned, but spot audits happen too. Before Tribal Habits, responding to a request for training evidence meant going back through spreadsheets and paper files, cross-referencing records, hoping everything had been captured correctly.

Now Katrina pulls it up immediately. A driver’s complete training history, every module completed, every safety alert acknowledged, is in one place and ready to show an auditor on the spot.

“Bang, there’s a driver and that’s everything we’ve trained them in.” – Katrina

That’s the real proof that implementing Tribal Habits has been worth the investment. The ability to show, at any moment, that every driver is trained, current, and accounted for.

“We’ve kept all of our drivers compliant. We’re able to track it; we’re able to show it. This is all the training we’ve rolled out; this is where it’s sitting, and everyone’s current and up to date.” – Katrina

Training at JDRT has always been about more than managing risk. It is how the business invests in its people and sets itself apart.

“You could call it a competitive advantage. We invest in our people, that’s important to us. This is one of the many ways that we do that.”  Chanel

What’s Next

Their next project is to build role-based learning pathways for each licence class, so that when a new driver joins, the right training is mapped out and ready to assign. They are also exploring how they can use the platform for staff surveys.

For JDRT, investing in their people is not something that happens by accident. It is a deliberate choice, and one they are building on.

We take pride in our training, and we’ve got the correct tools to do it.” –  Chanel
