Capture tacit knowledge from experts

Over time, your top-performing employees have developed unique skills and approaches. It represents the very best of your organisation, honed by actual use in real conditions—and knowledge which cannot be found in external training courses.

Random emails, presentations and simple PDF documents do not adequately capture this important content or help transfer these new ideas to other people.

You need to give your experts a way to rapidly capture knowledge AND transfer it effectively to others.

Stop knowledge drain when staff leave

When staff leave your organisation, their knowledge goes with them. The departure of experienced or highly skilled staff can result in a whole generation of knowledge disappearing overnight.

Tribal Habits remedies this by capturing and sharing your best practices so they remain within your organisation even when staff leave, and reduce bottlenecks when they are on holiday.

We help future-proof your organisation against employee turnover and economic change. You build a library of ‘how your organisation works at its best’ – a vital asset for shareholders and owners.

Update content in seconds. Built-in version control. Export as PDF.

I love that we can draw on the expertise of others so easily and that they can record content themselves - we've created templates which allow others to contribute in a way that aligns with L&D principles. In a digital (and now remote) environment, this has been critical. L&D colleagues can now transfer ownership of content back to SME's and focus instead on supporting the business with their own expertise, and understanding of the design process - rather than trying to become experts at each and every topic.

Frequently Asked Questions

Our best people have knowledge that only exists in their heads — how does Tribal Habits actually capture that?

Tribal Habits gives your subject matter experts a guided, step-by-step tool to document their knowledge directly — no L&D intermediary required. The building-block editor walks them through creating interactive modules using 45 content layouts and hundreds of templates, at roughly the same effort as building a PowerPoint. L&D teams can provide templates and review drafts, but the expert does the capturing themselves. The result is structured, trackable, and owned by the organisation — not locked in someone’s inbox or memory.

What happens to the captured knowledge when a team member leaves?

Once knowledge is captured in Tribal Habits it stays in the platform regardless of who created it. Modules can be transferred to a new owner, updated by another team member, and continue to be deployed to new staff — without the original author being involved. You build a library of how your organisation works at its best, and that library doesn’t walk out the door when someone resigns.

We have inconsistent processes across different teams and locations — can Tribal Habits help standardise them?

Yes. Tribal Habits eliminates the problem of different teams using different versions of the same document or process guide. Once a standard operating process is captured as a module, it becomes the single version all teams train from. You control which version is live, updates are reflected immediately across all locations, and you can track who has completed the updated training — so you know your whole organisation is working from the same page.

Our experts are busy — how much time does it actually take to capture their knowledge?

Much less than most people expect. The guided editor is designed to reduce the cognitive load on subject matter experts — they fill in structured templates rather than facing a blank screen. Short modules can be drafted in under an hour. For larger process libraries, L&D teams can break capture into sessions and manage multiple expert contributors simultaneously, rather than building each module from scratch themselves.

Can we capture knowledge that isn't just written content — videos, documents, on-the-job tasks?

Yes. Tribal Habits supports unlimited video and document hosting alongside written content, so experts can record walkthroughs, upload reference documents, and embed existing media directly into modules. On-the-job tasks can also be scheduled and tracked — useful for skills or processes that need to be demonstrated in the field rather than just assessed by a quiz.

What if a process changes — how hard is it to update the training?

Updates take seconds, not weeks. Tribal Habits has built-in version control, so you can edit a module, publish the update, and it takes effect immediately for all enrolled learners. Historical completion records are preserved. You can also export any module as a PDF if you need a printable version for reference. There are no stale PDFs circulating in shared drives or email threads — one update, one version, everywhere.

We already have process documents and SOPs in Word and PDF — do we need to rebuild everything from scratch?

You’ll need to rebuild your content within Tribal Habits rather than simply uploading files — but your existing documents become your source material, which makes the process significantly faster than starting from scratch. Your SOPs, Word docs, and PDFs give your experts the content; the guided editor gives them the structure to turn that content into interactive, trackable training. For more detail on the conversion process, see our free Internal Knowledge Sharing Guidebook.
