LMS for early learning providers

Early learning facilitator preparing for class

Managing training across an early learning organisation means managing staff turnover, spreadsheet-based induction, and centre management who don’t have a dedicated L&D team. The NQF doesn’t care how busy you are; it wants evidence that your centre and team are compliant.

Industry Reality

The biggest training challenges in early learning

Most training platforms were built for stable, desk-based workforces.
Early learning is neither.

01

Turnover means induction never stops.

Annual educator turnover in ECEC sits between 17% and 32%, against 12–20% across the broader workforce. Around seven in ten educators have been at their current centre three years or less. Every new starter is a new induction, and most centres are still running it by whoever's rostered on.

02

Auditors want evidence, not a signature.

A signed acknowledgement form doesn't tell an assessor whether an educator understood active supervision requirements or just clicked through them. The NQF's unannounced assessment and rating visits check for demonstrated practice, not a checkbox.

03

Staff vacancies are the permanent norm.

Nearly 60% of services report at least one vacant position at any given time. Centres are often running lean, which means less time for face-to-face training and more reliance on whatever induction process already exists. That process needs to work without supervision.

04

No area manager can see across their centres.

For multi-site operators, compliance visibility usually lives in someone's inbox or a spreadsheet nobody fully trusts. When the question is asked about who's current on child protection training across 12 centres, it can take a long time to get the answer — and sometimes the answer is wrong.

The Difference

What a better training system looks like

The same organisation. A completely different training operation.

Before Tribal Habits

With Tribal Habits

Induction quality depends on which director or room leader is rostered on.

Every new educator follows the same induction, at every centre, every time.

Policy sign-offs on the honour system, with no record of what was actually understood.

Every module tracked, timestamped, and exportable the moment an assessor asks.

Area managers find out who's overdue when something goes wrong.

Real-time visibility across every centre, role, and educator.

Paying per seat for casual educators who trained once this quarter.

Only pay for staff who actually log in and train that month.

Senior educators leave, and their knowledge leaves with them.

Internal knowledge captured once, in a system every new starter can access.

Pre-Built Training Library

Training built for how community services and volunteer organisations actually run

From educators to directors, the training's here.

The Tribal Habits training library has early childhood modules written by Australian subject matter experts and aligned to the NQF, the National Regulations, and relevant state requirements. Plus, there are hundreds of other modules that cover leadership, safety, communication, and other workplace skills.  And unlike locked libraries, every module is editable, which means you can start with what’s already built, then tailor it to your service’s own policies and philosophy.

Pricing

Transparent pricing, based on who actually trains

In reality most staff don’t do training every month, so why should you pay for everyone every month? Tribal Habits charges on monthly active users (someone who logs in at least once during the month). So you only pay for the staff who log in and train each month.

How Monthly active user pricing works

You only pay when someone actually trains

Most LMS platforms charge per seat, whether staff log in or not. Tribal Habits uses Monthly Active User pricing, so you only pay for an educator when they log in and train that month. Store your full roster, including casuals, at no extra cost.

How Monthly active user pricing works

What it looks like in practice

An early learning group with 300 staff across multiple centres commits to a 100 MAU plan. Each month, those active users are a mix of permanent educators doing refreshers, new starters completing induction, and casuals doing compliance top-ups. In a high-turnover month, if usage runs over, the extra users are charged at the plan rate. In normal months, nothing extra is charged.

What matters beyond the training content

Why do early learning centres love Tribal Habits?

Online modules, your own courses and induction, clinical content, and external records like licences and qualifications, all on one worker profile. Reporting spans every kind of training, so you see the full competency picture without stitching systems together.

Pay for who trains, not stored users

Monthly active user pricing means casuals and part-timers only count when they're active. No per-seat fees for staff who aren't using the platform.

Frequently Asked Questions

Is Tribal Habits suitable for smaller services?

Yes. We support everything from single-site services to multi-centre organisations without a dedicated L&D team.

Does the library cover the NQF and National Regulations?

Yes. The compliance library covers AU/NZ legislation, reviewed by Australian lawyers, including active supervision, child safety, and mandatory reporting.

How do we handle compliance evidence for an audit or assessment visit?

Audit-ready reporting across your workforce — completions, assessment scores, version history, timestamps. Filter by centre, role, or team and export to CSV.

Can we track expiring certifications like First Aid or CPR?

Yes. Set expiry dates with automated reminders before they lapse. External certifications can be uploaded and tracked in the platform.

What happens with casual and part-time educators?

Stored in the system at no cost, and only count toward billing when they log in and train that month.

Can we customise modules with our own policies and philosophy?

Yes. Every module is fully editable — update content, insert your branding, tailor assessments to how your service actually runs.

Do you support blended learning for practical skills?

Yes. Combine online modules with observations, workshops, and in-centre practical training, all tracked in one place.

Can area managers or directors access reporting for their own centres?

Yes. Role-based access means directors see their own centre’s data without accessing other sites.

Is the platform accessible on mobile?

Yes. Fully mobile-responsive — educators can train on phone, tablet, or desktop, between rooms or during breaks.

Where is our data hosted?

All data is hosted in Australia. ISO 27001 certified.
