LMS for aged care providers

LMS for Aged care - hero image

Aged care compliance is getting harder. Your training platform shouldn’t be.

Managing compliance and training across an aged care organisation means shift-based teams, constant staff movement, non-negotiable compliance requirements, and never enough admin hours to keep on top of it all.

Industry Reality

The biggest training challenges in aged care

Most training platforms were built for stable, desk-based workforces.
Aged care is neither.

01

Auditors look for competency, not completion.

The ACQSC arrives unannounced and checks whether training produced real competency, not whether someone ticked a box. Spreadsheets and sign‑off sheets don't pass that test.

02

Medication safety is the most common failure.

Medication administration has been the top complaint issue in residential aged care for years. It's also a leading cause of SIRS notifications. Training needs to be current, role‑specific and documented.

03

Demand is growing. Capacity isn't keeping up.

Residential aged care demand is projected to double by 2044. Providers are already stretched. Keeping training current as standards change, and maintaining audit-ready records isn't something a lean team can absorb.

04

There's someone always starting from scratch.

More than 10,000 aged care workers left the sector in a single quarter. At 25%+ annual turnover, induction never stops. Without a consistent traning system, it's verbal, inconsistent, and impossible to evidence at audit.

The Difference

What a better training system looks like

The same organisation. A completely different training operation.

Before Tribal Habits

With Tribal Habits

Records scattered across spreadsheets, inboxes and paper sign-in sheets.

Every record in one auditable place – exportable the moment an assessor asks.

Every manager inducts new staff differently – quality depends on who's rostered on.

New starters follow the same induction across every site, every single time.

Expired certifications surface only when something has already gone wrong.

Renewals chase themselves automatically, before anything lapses.

Paying per seat for casual staff who trained twice this year.

Only pay for staff who actually log in and train that month.

Separate systems for clinical training and internal procedures, with no way to see the full picture.

Everything. in one place – clinical content, your own courses, and audit-ready records.

Add-On Training Library

The HealthStaffEd
Clinical Library

Expert clinical training across aged care, healthcare and NDIS, mapped to the 2025 Strengthened Standards and updated as required. Add the modules your staff need, enrol individual team members by role, and only pay for the staff who train that month.

Add-On

Every aspect of care, covered

Built by registered nurses, trusted by nursing and midwifery unions across every Australian state.

450 (and growing!) modules covering aged care, healthcare and NDIS – every one evidence-based, peer-reviewed, and written specifically for the clinical environment. Not generic workplace training with a healthcare label on it.

  • Audit-ready from day one. Every aged care module maps to the 2025 Strengthened Aged Care Quality Standards, with the standard reference visible inside each module.
  • Counts toward CPD. Every module meets AHPRA registration board requirements for nurses and midwives – a retention benefit as much as a compliance one.
  • Stays current without your effort. When standards or legislation change, HSE updates the content. Nothing for you to maintain.

Pricing

Transparent pricing, based on who actually trains

In reality most staff don’t do training every month, so why should you pay for everyone every month? Tribal Habits charges on monthly active users (someone who logs in at least once during the month). So you only pay for the staff who log in and train each month.

How Monthly active user pricing works

Store everyone.
Pay for who trains.

Store your entire roster at no cost and only pay for staff that log in and trains. Plans are based on your expected monthly minimum active users. The higher your minimum, the lower your per-MAU rate, and any usage above it is charged at the same rate.
HealthStaffEd Clinical Library Package
Plan size Price per monthly active user
50 MAU $24.00
100 MAU $22.63
150 MAU $20.87
plans from 200–10,000+ MAU from $20.38
How Monthly active user pricing works

What it looks like in practice

An aged care provider with approx. 800 staff commits to a 200 MAU plan.

Each month, those 200 active users are typically a mix of permanent staff doing refresher training, new starters completing induction, and casuals doing compliance top-ups.

Their full staff roster is stored at no extra cost, and the active users can be different people each month.

In a high-turnover month, if 220 staff train, the additional 20 users are charged at $20.38 at month end. In normal months where usage stays at or below 200, nothing extra is charged.

For this type of workforce that needs clinical training for different staff, at different times, MAU pricing delivers significant savings compared to platforms that charge per stored user.

The HealthStaffEd Clinical Library Package includes:

"The ready-made libraries are a fantastic jumping off point and have made the creation of our own modules so much easier. The AI Guide, Sage, is a wonderful function in helping create a training module as well as letting us know if the training was too long, too short, where we could leverage videos or images and lots of other tips and techniques. Our experience with Tribal Habits has been great.”

Frequently Asked Questions

Is Tribal Habits suitable for smaller aged care providers?

Yes. Tribal Habits is designed for organisations without a dedicated L&D team — which includes the majority of aged care providers in Australia. Active user pricing means you only pay for staff who are actively training, making it cost-effective regardless of your size.

Does the library cover the Aged Care Quality Standards?

Yes. The Tribal Habits compliance library covers AU/NZ legislation and is reviewed by Australian lawyers. Aged care providers can also add the HealthStaffEd Clinical Library — specifically developed for aged care workers and mapped to the 2025 Strengthened Aged Care Quality Standards.

How do we handle mandatory reporting and compliance evidence?

Tribal Habits gives you audit-ready reporting across your entire workforce — completions, assessment scores, version history, and timestamps. You can filter by role, team, or facility and export to CSV at any time.

Can we track expiring certifications like manual handling or first aid?

Yes. You can set expiry dates on certifications and training, with automated reminders sent to learners and managers before they lapse. External certifications can also be uploaded and tracked within the platform.

What happens with casual and part-time staff?

Casual and part-time staff are stored in the system but only count toward your active user billing when they log in and complete training in a given month. You can set up automated enrolments so training is assigned the moment they are added to the system.

Can we customise modules with our own policies and procedures?

Yes. Every module in the Tribal Habits library is fully editable — you can update content, add your own policies, insert your branding, and tailor assessments to reflect how your service actually operates. Note: HealthStaffEd modules are not editable.

Do you support blended learning for practical skills?

Yes. Tribal Habits supports blended learning that combines online modules with practical assessments, on-site observations, and in-person sessions — all tracked and recorded in one place.

Can facility managers access reporting for their teams?

Yes. Role-based access means facility managers can view reporting for their own teams without accessing data from other sites. Administrators can set up reporting structures that mirror your organisational hierarchy.

Is the platform accessible on mobile?

Yes. Tribal Habits is fully mobile-responsive. Care workers can complete training on any device — phone, tablet, or desktop — during breaks, between shifts, or at home.

Where is our data hosted?

All data is hosted in Australia. Tribal Habits is ISO 27001 certified, giving you the security posture required for sensitive workforce and compliance data in a regulated care environment.
