Under Module 1 of the NDIS Practice Standards, an auditor checks whether each worker is competent to deliver each high intensity support for the specific participant they support. Not whether a course was finished. A completion certificate or a spreadsheet tick does not meet that test.

In reality most staff don’t do training every month, so why should you pay for everyone every month? Tribal Habits charges on monthly active users (someone who logs in at least once during the month). So you only pay for the staff who log in and train each month.

How Monthly active user pricing works

What it looks like in practice

An NDIS provider with approx. 250 support workers commits to a 100 MAU plan.

Each month, those 100 active users are typically a mix of permanent workers doing refresher and reassessment training, new starters completing induction and competency sign-off, and casuals topping up before a shift.

Their full workforce is stored at no extra cost, and the active users can be different people each month.

In a high-turnover month, if 115 staff train, the additional 15 users are charged at $20.38 at month end. In normal months where usage stays at or below 100, nothing extra is charged.

For a casualised workforce that needs competency training for different workers at different times, MAU pricing delivers significant savings compared to platforms that charge per stored user.

How do we prove worker competency at audit?

Can we track when a worker needs reassessment?

Yes. You can set expiry and review dates on competencies and training, with automated reminders sent to workers and coordinators before they lapse. Observation-based competency assessments can be placed on a recertification schedule so they repeat automatically, and a partial retake lets an assessor re-verify only what has changed. This helps you keep pace with the HISSD expectation to reassess after a period without delivering a support, or when a participant’s plan changes.

What happens with casual and agency staff?

Casual, part-time and agency staff are stored in the system but only count toward your active user billing when they log in and complete training in a given month. You can set up automated enrolments so training and competency sign-off are assigned the moment they are added.

Can we create our own participant-specific competency assessments?

 

Yes. The course builder lets you turn your own protocols, participant plans and site procedures into interactive modules and assessments, with your branding and your sign-off requirements. This is how you evidence competency for a specific participant rather than a generic completion.

Can we create our own induction and onboarding program?

Yes. Design a structured induction that reflects your organisation, from the NDIS Code of Conduct and your own policies through to your service model and participant protocols. Automated enrolments assign it the moment a new worker is added, so every starter gets the same onboarding and it’s recorded in one place. For a high-turnover workforce, that turns induction from a manual, coordinator-by-coordinator task into a repeatable system.

Do you support blended learning and on-site practical assessment?

Yes. High intensity supports need practical assessment, often by an appropriately qualified health practitioner. The Observation element is built for exactly this: an assessor works through a checklist of observable tasks and grades each one on a phone or tablet in the field, adds comments, and captures photos or video as evidence. Grading labels are yours to set, for example Competent and Not yet competent. If a worker does not pass, a partial retake resets only the items they missed while keeping the rest, and every attempt is preserved. When there is no internet at a participant’s home, assessors can complete a printed version and enter the results later.

Can we record training completed outside the platform?

Yes. The External Knowledge feature records the licences, qualifications, certificates, external courses and documents your workers already hold. Upload the evidence, set completion and expiry dates, and it appears on the same profile and in the same reporting as training completed in the platform. Records can be added by admins, team leaders or workers, or uploaded in bulk. For evidence that has to be formally reviewed, signed off and revalidated on a schedule, the Requirements element adds assessor sign-off and recertification tracking.

Can coordinators access reporting for their own teams?

Yes. Role-based access means coordinators and team leaders can view reporting for their own workers and participants without accessing data from other teams. Administrators can set up reporting structures that mirror your organisation.

Is the platform accessible on mobile?

Yes. Tribal Habits is fully mobile-responsive. Support workers can complete training on any device — phone, tablet or desktop — between shifts or at home.
