Each topic is built around a structured framework. Admins set up the topic title, overview description, hero image, and target audience before assigning a creator. Within a topic, content is organised into Points (up to 20 per standard topic, 1 per short topic), which act as chapters. Creators can enable optional system-generated modules: Overview (welcome screen with intro polls), Insights (aggregated social contributions), and Destination (conclusion with feedback polls). Navigation can be set to free-flow (learners complete sections in any order) or enforced (sequential, with sections locked until prior sections are completed). Topics can be active, draft, or archived.
Provides a guided structure that non-specialist creators can follow to build professional training without instructional design experience. Enforced navigation ensures learners follow a logical sequence for complex or safety-critical content, while free navigation suits reference-style material.

Pathways group multiple topics into a single learning experience. Each topic within a pathway is designated as mandatory (must be completed) or optional (can be set to require a minimum number). Topics can be released to learners immediately on enrolment or on a schedule (by specific date or number of days after enrolment). Pathways support due dates, certified dates, notifications, and completion certificates in the same way individual topics do. Changes to a pathway’s content affect all currently enrolled learners and can optionally trigger a notification to affected learners.
Allows organisations to deliver structured multi-module programmes such as induction, role-based onboarding, or compliance bundles as a single enrolment. Scheduled release creates a drip-learning experience, pacing content delivery without requiring manual intervention. Optional topics allow flexibility for different roles or experience levels within the same pathway.

A Divider element also provides lightweight sub-headings within a section without triggering navigation breaks.

Quiz, Fill-In, and Match can be included in the formal Assessment module.
Allows creators to check understanding throughout a topic at any point, not just at the end. Inline knowledge checks keep learners active and engaged, reinforce retention, and provide creators with response data visible in reporting. Poll responses are aggregated and visible to all learners, creating a sense of shared perspective across the cohort.

The Event element is added to a topic like any other content element, embedding one or more instructor-led training sessions directly within a topic’s structure. Creators configure sessions with a type (workshop, webinar, conference, meeting), date, time, duration, location or URL, capacity limit, and optional waitlist. Learners register for a session from within the topic. Attendance can be recorded automatically on the session date or manually by a creator, assessor, or admin after the fact. Registration and attendance trigger email notifications and calendar (.ical) invitations. The topic is not marked complete until attendance requirements are met.
Allows blended learning programmes to be managed entirely within Tribal Habits — online content and face-to-face or virtual sessions live in the same topic, with a single enrolment, single completion record, and unified reporting. Eliminates the need for a separate events management tool for training registrations. Useful for induction days, compliance workshops, webinar series, and any training that combines online and in-person components.

Elements that can be configured for manual assessor review: Q&A (open-text question with an optional model answer revealed after submission; responses can be auto-captured to the learner’s journal; can be enabled for assessor grading), Task (a defined practical activity with a completion checkbox; can require assessor verification), Upload (learners upload a file — document, image, video, audio — for storage or assessor review), Event (instructor-led training managed within a topic; includes session scheduling, registration, waitlists, attendance marking, and calendar invitations; can require assessor sign-off for attendance), and Requirements (structured evidence capture with configurable fields — e.g. licence number, expiry date, document upload — with optional assessor review, expiry-based recertification triggers, and a dedicated analytics report).
Enables blended learning that combines online content with real-world tasks and practical submissions. The Requirements element is particularly suited to compliance workflows where ongoing licences or certifications must be captured, verified, and renewed on a defined schedule. All assessable elements feed into the Assessors and Assessment category for grading and reporting.

Topics support a dual-layer versioning system. Creators work in an editable version that is separate from the published (learner-facing) version. Once published, learners see the published version while creators can continue editing without affecting learners. Publishing creates a versioned snapshot (e.g. v1.0, v1.1, v2.0). Minor updates increment the decimal; major updates increment the integer and signal a significant content change. Version notes can be added at publish time. The platform records which version each learner completed. Admins can filter completion reports by version. Topics can alternatively be managed without publishing (editable and learner versions are the same), or by copying topics to create separate branches.
Allows organisations to update live training content without disrupting learners mid-enrolment. Major version tracking is critical for compliance topics where regulatory changes make prior completions invalid — admins can identify which learners completed an outdated version and trigger re-enrolments as needed.

A library of pre-built draft topic templates is available at Admin > Knowledge > Templates. Templates provide a starting point for common training structures — for example a SCORM hosting template, policy acknowledgement template, or induction template. Creators can start a new topic from a template rather than from a blank canvas. Tribal Habits also provides system-level templates for common use cases that can be browsed and imported.
Reduces the time and effort required to build new training by providing an opinionated starting structure. Particularly useful for organisations creating their first topics or for common training types where the structure is consistent across the organisation.

Admins can copy any topic in their portal to create a full duplicate, including all content, settings, and structure. The copy is created as a draft and can be edited independently of the original. Individual content elements within a topic can also be cloned in-place (duplicating the element at the same position) or copied to a different point within the same topic or to another topic entirely (provided the creator has access to both). Pathways cannot be copied between portals directly, but individual topics within them can be.
Provides a fast starting point when building variations of existing training — for example, creating role-specific versions of a compliance topic, or building a new topic based on a similar structure. Element-level copying allows creators to reuse well-designed interactions across multiple topics without rebuilding from scratch.

Multiple creators can be assigned to a single topic, each with the ability to edit content. Creators can be assigned by admins via the topic’s Access tab, via the creator’s profile, or by enabling general Creator access portal-wide for all staff. Non-admin users can be granted Creator access for a specific topic only, or general Creator access across the portal. Creators coordinate their own editing activity — the platform does not prevent simultaneous editing but changes from one creator will affect what the other sees.
Allows subject matter experts across the organisation to contribute to training content without needing admin access. A department head, compliance officer, or operational lead can be assigned as a creator for a specific topic while an L&D admin manages the broader platform — distributing the content creation workload without compromising platform governance.

Admins can export any topic as a PDF from the topic’s admin area. The PDF can be generated from the latest published version, any earlier published version, or the current unpublished creator version. An optional learner version can be generated that omits quiz answers, feedback, and assessment quizzes. The PDF includes text, highlight, media, sequence, and interaction elements but excludes system-generated modules (Overview, Insights, Assessment, Destination). There is no size limit.
Supports compliance review, content auditing, and offline distribution of training content. Useful for sharing topic content with legal or compliance reviewers who are not portal users, or for providing a printable reference version of procedural content. The learner version enables safe distribution without revealing assessment answers.

An optional SCORM element can be enabled in the content editor, allowing creators to upload external training modules in SCORM 2004, SCORM 1.2, xAPI/Tin Can, or AICC format directly into a Tribal Habits topic. The uploaded module launches in a new window or the same tab when the learner clicks to start. Completion data is returned to Tribal Habits from the SCORM module. As many organisations do not require SCORM when using Tribal Habits, it is not included in plans by default to lower base subscription pricing. Organisations can add the SCORM element to any subscription plan for a small additional cost.
Allows organisations to bring existing SCORM-format training into Tribal Habits without rebuilding it. Useful during migration from a legacy LMS, or when sourcing third-party compliance content that is only available as SCORM. Once inside Tribal Habits, the content benefits from the platform’s enrolment, reporting, and notification infrastructure. In addition, organisations can ‘wrap’ the SCORM module with new content using the built-in authoring options – adding pre-training polls or post-training assessments for example.

Two optional reference features can be enabled per topic: Resources (a list of links and/or downloadable files that learners can access at any point during their training, presented as a persistent panel in the topic navigation), and Glossary (a searchable list of key terms and definitions that learners can access at any time within the topic). Both are configured by the creator in the topic settings.
Allows creators to provide supporting reference material without cluttering the main content flow. Resources are useful for linking to policies, standards, or external references that learners may need during or after training. A glossary reduces cognitive load for topics with technical terminology or industry-specific language.

A forum can be enabled per topic, allowing learners enrolled in that topic to post, reply to, like, and report discussion threads related to the training content. The forum appears as a tab in the topic navigation. Learners can also view all forum posts across their enrolled topics from the Forum tab on their learner homepage. Creators can link to the forum at specific points in the content flow. Admins can moderate posts.
Creates a social learning layer on top of structured training, enabling learners to share experiences, ask questions, and discuss application of the content in their own context. Particularly valuable for leadership, communication, and professional development topics where shared reflection adds depth to the learning experience.

Each topic created in Tribal Habits automatically includes a journal for the learner. The journal is visible through-out the entire topic – the learner can open and add notes to their journal at any time. The journal can be downloaded (PDF) or emailed to the learner at any time. Interactive elements in the topic can also interact with the journal – Q&A element can copy the question and the learners answer to their journal (e.g. ask the learner about future actions and have that copied to their journal and then emailed to them). Poll choices, favourited insights, reflection answers can all be added to the journal to easily populate it with bespoke information for that learner. The journal is automatically sent to the learner upon completion of each topic.
The learner journal helps learners build a bespoke ‘cheatsheet’ of important ideas, notes, actions and insights to use later. Because it can interact with topic content, it lowers the effort to use and increases its value – automatically capturing decisions and notes as the learner naturally explores the topic. It can be used by the learner on-the-job later, or shared with managers or mentors for use in 1:1 meetings.

Every organisation receives one free expert topic review per topic created. The review is requested via the Checklist menu within the topic editor or via the Sage AI assistant. A Tribal Habits support team member produces a 10-15 minute video analysis of the topic, reviewing content structure, element usage, settings, and navigation. The review is delivered within three business days. Additional reviews beyond the first are not included.
Provides new creators with expert instructional design feedback without requiring any L&D expertise internally. Particularly valuable for first-time creators, for complex or compliance-critical content, or when a creator feels stuck. The video format means feedback is easy to action and revisit.

The Observation element lets creators build a checklist-based assessment within a topic, made up of one or more sections, each containing individual line items describing a task or action to be observed. Creators write learner instructions (visible to the learner) and separate assessor instructions (visible only to assessors). Grading labels are fully customisable but each must be categorised as pass, fail, or not applicable, and more than one label of each type can be created (e.g. “Competent” / “Not yet competent”, or “Done” / “Not done”). An optional scoring method can be applied across the whole checklist: None, 1-5, 1-7, 1-10, A-F, or Percentage. Creators can also require learners to formally accept the observation before an assessor can finalise a result, and can set progress rules including whether an overall pass is required and whether completing the observation should mark the entire topic complete.
Gives non-instructional-design creators a structured way to build verification-of-competency assessments without custom development. A single element can cover anything from a forklift operation checklist to a monthly store inspection, with the wording, grading scale and pass criteria fully tailored to the organisation’s own language and standards.
