Each Tribal Habits portal is assigned a unique subdomain (yourorganisation.tribalhabits.com) and an organisation name that appears throughout the portal and in system notifications. Both can be changed by contacting support.
Gives your platform a professional, branded web address and ensures all system emails and in-platform references display the organisation’s name rather than a generic label.

All portals are accessed via a Tribal Habits subdomain (e.g. acme.tribalhabits.com). Organisations can additionally configure a custom domain — sometimes called a vanity URL — so that users access the portal via a domain the organisation owns (e.g. learning.acme.com.au). The custom domain maps to the underlying Tribal Habits subdomain. Setup requires a DNS configuration on the organisation’s side and is managed with support from the Tribal Habits team.
Removes any visible reference to Tribal Habits in the portal URL, presenting the platform as a seamlessly branded learning environment under the organisation’s own domain. Particularly valuable for organisations delivering training to external users, clients, or customers where brand ownership matters.

Admins set three portal-wide colours: Primary (used throughout navigation and UI), Highlight (accents and key elements), and Interaction (used on interactive content elements such as hotspots, polls, and sort activities). Contrast ratio guidance is shown during selection for WCAG 2.2 compliance.

Admins can select custom fonts from a curated list of Google Fonts for four distinct roles: Body (long-form text), Heading (titles and section headers), Instructional (questions and short instructions), and Button (call-to-action labels). Selected fonts apply across all topics including library content, except where fonts have been manually overridden at the element level. There are over 20 provided fonts and additional Google Fonts can be added on request.
Allows organisations to align their brand typography across all training content without requiring any design expertise. Library topics automatically adopt the selected fonts, reducing manual effort when customising imported content.

Admins can configure the portal login page with a welcome image, a welcome message, and a full background image with adjustable opacity. For organisations using SSO or an OAuth2 partner login (e.g. EmployeeConnect, Prosper), admins can additionally enable “Hide local login fields,” which hides the username/email and password fields behind a “show link.” Learners click the link to reveal the local login fields if needed. Admins can customise the show link’s label (e.g. “Click here to login as a contractor”) and add explanatory text above the local login fields. This option is available on all plans and can be enabled regardless of whether SSO or an OAuth2 partner login is configured for the portal.
Reduces login confusion for organisations where most or all learners authenticate via SSO or an external partner login rather than a local username/password. Learners see a single, clear login path instead of two competing options, while a customisable link and explanatory text still support the smaller group who need to log in locally – such as contractors or external users.

Every user in Tribal Habits has a personalised learner homepage, accessed on login. The homepage consists of several tabs. The Dashboard tab is the default landing view and contains two sub-tabs: Overview (a summary of the learner’s current training activity — overdue items, upcoming due dates, upcoming events they are registered for, and recent completions) and Calendar (a visual calendar showing all training due dates and registered events). The Training tab lists all current enrolments, prioritised by status — overdue first, then approaching due dates, then in-progress — with a toggle to switch between incomplete and completed training. The Catalogue tab displays any training made available for self-enrolment, filtered by the rules configured for that learner. The Profile tab shows the learner’s personal details, full training history, external knowledge records, and — where applicable — assigned roles and goal progress. Additional tabs appear conditionally: Team (for team leaders), Assess (for assessors), Create (for creators), and Forum (where forums are enabled). The content and banner of each tab can be customised by admins. The default landing page can also be changed per user or portal-wide.
Gives every learner a single, organised view of everything they need to do, have done, and can choose to do — without any admin involvement. The calendar view is particularly useful for learners with multiple enrolments or event registrations, giving them a time-based view of their training obligations. The conditional tab structure means the interface stays uncluttered — a standard learner sees only what is relevant to them, while a team leader or assessor gets the additional tabs they need without a separate login or interface.

Each tab of the learner homepage (Dashboard, Training, Catalogue, Create, Profile, Team, Assess, Forum) can be individually configured with a custom banner image and introductory text. A consistent background texture or pattern is applied across all tabs and is set from the Brand area.
Allows organisations to personalise the learner experience with context-specific welcome messages and imagery for each section of the platform. Helps orient learners and reinforces that the training environment belongs to your organisation.

Every portal includes a default System Certificate that is automatically applied to all topics, articles, and pathways on completion. It incorporates the organisation’s logo and primary brand colour and cannot be edited. Admins can choose to show or hide certificates per topic or pathway via the topic’s Settings tab. System Certificates include unique completion IDs (to prevent fraud) and key information from topics and pathways.
Provides learners with immediate proof of completion without any setup required. Suitable for organisations that want a clean, professional certificate without the need for full customisation.

Admins can create, copy, edit, and delete multiple custom certificate templates. Customisation options include: layout (A4 portrait or landscape, compact or standard), background image, border style and colour, logo, fonts, text colour, highlight colour, and title/introduction/completion text. Certificates can optionally display CPD information, skills attained, custom fields (up to three), pathway content, topic notes, and a certificate number. Custom certificates can be assigned to specific topics or pathways, or set as the portal default, allowing each topic or pathway to have its own unique certificate.
Enables organisations to produce highly professional, on-brand certificates that reflect their identity and include relevant completion data. Particularly valuable for compliance training, CPD tracking, or external-facing training where certificates carry formal weight.

Admins can set a preferred default language for the portal. When a non-English language is selected, certain platform interface elements are translated. Language is confirmed at setup but can be reviewed and changed via Account settings.

By default, all users land on the Dashboard – Overview page after logging in. Admins can configure a different default landing page for their portal, directing users to the page most relevant to their typical activity.
Reduces friction for learners by directing them immediately to the most relevant section of the platform. For example, organisations that primarily use the platform for compliance training might direct learners straight to their Training tab. Admins or Creators can land directly in the Admin area or on their Create tab.

Organisations can operate up multiple Tribal Habits portals under a single subscription, each with its own unique URL, branding, user base, admin team, and content. Parent portal Super and Standard admins can access child portals using their parent credentials and copy topics from parent to child portals. Active users are aggregated across all portals under the one subscription. Lite plans include 1 sub-portal; Business plans support up to 50 sub-portals. Optionally, the Groups feature (covered in User Management) allows for cohort management within a single portal.
Ideal for organisations with multiple brands, divisions, or external clients who require separate training environments. Also used by HR consultants or managed service providers who administer training on behalf of multiple organisations. Eliminates the need for separate subscriptions while maintaining full separation of users, content, and branding.
